PilotWareʼs billing database has the capability to round up to the next minute, unlike many services thatbill in 15 and 30-minute increments.
Our standard turnaround time is 48 hours (this does not include weekends). Tapes/files that do notconform to our standards may have a delayed start time.
Weekend, Holidays and Special Rush Orders
Rushes outside standard business day turnarounds are addressed on a case-by-case basis and subjectto surcharges for weekend rush per tape, hourly management fees and transcriber standby fees.

Tapes received after 5PM will be processed the next business day at 10AM and your turnaround time willstart from there.
To ensure the best turnaround time possible, we ask for a schedule in advance as to when we can expecttapes and about how many tapes we will be receiving each week (an estimate is fine). Start times forunscheduled deliveries may be delayed based on workloads and are not subject to standard deadlines.Scheduled batches in excess of twenty hours may be subject to additional turnaround times.
PilotWare has streamlined delivery and return of transcripts on the client side, reducing the amount oftime to prep and send files, as well as import completed transcripts back to your PilotWare database. Thisis achieved by managing your transcriptions through an internal tracking system, which requiresadditional time for processing internally verses a standard transcription workflow using word docs andmore costly billing of block time increments. In consideration of the productivity and cost savings offeredby PilotWare, we reserve the right to use an additional 4-hour grace period on turnaround times for ouradded processing times, especially during busy periods.
PilotWare accepts files in Quicktime file formats originating from a PilotWare Digital System. Clients notusing a PilotWare system must discuss formatting options prior to submissions. Surcharges may apply forformats not meeting our specs.
We can receive files via FTP or external hard drive, depending on the size of files. Transcriptions will bereturned one of two ways: 1) PilotWare Transporter, or 2) a word document.
The PilotWare database should detect duplicate tape numbers submitted for the same project, howeversome clients submit multiple pieces of the same tape. Staff will make every effort to detect multiplesubmissions, however it is the clients responsibility to manage what is being sent for transcription. If atape is transcribed twice because of multiple submissions by the client, or tape numbering issues, bothorders will be billed.
